Registration

Registration is done via the Indico form. There you enter your personal details and information about your contribution.
Important: Registration is linked to your Indico account.


Arrival by Public Transport

On the Sunday of the event, we expect the SFK ferry F2 to be available free of charge again, running every 30 minutesbetween Reventlou Bridge and Wellingdorf.
In addition, we hope that bus line 11 will run every 15 minutes during the event.


Set-up and Dismantling

Set-up and dismantling of the stands are handled by the teams themselves.
Please allow enough time—and don’t forget everything you’ll need: technology, decorations, materials … and a bit of muscle power never hurts 💪


Accessibility

The event area is partially accessible.
For visitors with limited mobility, we recommend access via Wischhofstraße or Langenkamp.
Access via “Am Seefischmarkt” behind Rossmann is not recommended due to the condition of the pavement and road (cobblestones).

If you have suggestions or comments regarding accessibility, please don’t hesitate to contact us.


Contributions – What formats are possible?

You can choose one or more of the following contribution types:

  • Outdoor activity (e.g. harbour, instruments)

  • Research instrument or model

  • Poster or information stand

  • Interactive hands-on activity

  • Short talk (10–20 minutes)

  • Lab or technical tour / demonstration

  • Other (freely defined)


Data Protection & Use of Images

To participate, you must agree that:

  • your data will be used exclusively for the organisation of the event

  • photos and videos may be taken and published in the context of the event
    (e.g. website, newsletter, press work)


Both are mandatory—no boxes checked, no Open Day.


Food Vouchers

Anyone who staffs a stand for the full day will receive a €7 food voucher, redeemable at all participating food trucks on campus.

The vouchers will be available from xxx at the reception desk in the New Building (Building 5)

Short Description – What should it include?

Short and sweet, please:

  • What is your contribution about?

  • What exactly will you show?

  • What should visitors take away?


This helps the organising team with planning—and makes people curious about your stand.


Short Talks – Time Slots

For talks (10–20 minutes), the following slots are available (one slot each):

  • 11:30 – 12:00

  • 12:30 – 13:00

  • 13:30 – 14:00

  • 14:30 – 15:00

  • 15:30 – 16:00


You can indicate your preferred slot in the form.


Merchandise & Materials

While supplies last, we offer:

  • GEOMAR T-shirts (various sizes, female/male cuts)

  • GEOMAR stickers

  • Postcards for display


First come, first serve
—whoever clicks first, gets there first.


Mandatory Fields – What must be completed?

Without these details, nothing works:

  • Title of your contribution

  • Type of contribution

  • Short description

  • Space required

  • Your availability on the event day

  • Consent to data protection

  • Consent to image use


Space Requirements

Please estimate realistically:

  • Small: 1–2 m

  • Medium: 3–5 m

  • Large / special setup


Honesty beats creativity here—it saves everyone stress.


Safety

If your contribution has special safety requirements
(e.g. experiments, lab work, technical equipment), please be sure to indicate this in the form.


Preferred Location

You may indicate where you would like to be located
(e.g. Building 5, 8 or 14, foyer, library, terrace, etc.).
Final allocation is done by the organising team—but preferences are taken very seriously.


Availability on the Event Day

Let us know when you’ll be there:

  • All day (11:00–17:00)

  • Morning only

  • Afternoon only

  • Or with specific time slots

Catering

See: Food vouchers.
Short version: staff a stand = get a voucher = make a food truck happy.


Access & Parking

On this day, the event area will be closed to private cars.
Access to the campus is possible only until 10:00 a.m. and only with a parking permit.

Please note:

  • Indicate the required number of parking permits in the registration form

  • Access on Sunday, 30 August 2026, only until 10:00 a.m.

  • Please use the GEOMAR parking garage

  • Exit is only possible after the event ends at 5:00 p.m.
